How to send customer statements from Square Invoices
Last updated:
If some customers pay you across several Square invoices, a single monthly statement is the easiest way to show them everything they owe. Square Invoices sends invoices and reminders one at a time, but it does not have a combined statement. Here are your options.
Option 1: Build a statement by hand
- In your Square Dashboard, open Invoices and filter by the customer.
- Note each unpaid or partly paid invoice, its due date and the amount still owing.
- Put them in a document or spreadsheet with the total, and mark anything past due.
- Add the invoice links so the customer can pay, save it as a PDF and email it.
This works for one or two customers. It takes a long time every month for more, and it is easy to miss a payment that came in.
Option 2: Export and use a spreadsheet
You can export invoice data from Square and use a spreadsheet to total it per customer. You still need to format a statement and email each customer yourself.
Option 3: Send them automatically
SendStatements connects to Square with read-only access and, on the day you choose each month, emails every customer who owes you money a PDF statement: balance due, what is late, balance by age, and a Pay link for each invoice. Replies go to you.
What a good statement includes
- Your business name and how to contact you
- The statement date and the total balance due
- Every open invoice with its number, date, due date and amount owing
- How much is past due, ideally grouped by age (1-30, 31-60, 61-90, 90+ days)
- Payments received since the last statement
- An easy way to pay
Tips
- Send on the same day every month, so customers know when to expect it.
- Make sure each customer has an email address in Square.
- Use a reply-to address you check, so questions reach you.
