How it works
Last updated:
SendStatements reads your Square invoices and, once a month, sends each customer who owes you money one clear statement with a Pay link for every open invoice.
1. Connect Square
Click Connect Square and sign in on Square's own page. You approve read-only access. We never see your Square password.
2. Preview your statements
You see every customer who owes money, their balance, how much is late, and the exact PDF they will get. Nothing is sent yet.
3. Choose a day and turn it on
Pick the day of the month (1 to 28) and the email address replies should go to, then switch on automatic sending.
4. Statements go out every month
On that day, each customer with a balance gets an email with their statement attached as a PDF. Customers who owe nothing get nothing.
What is on each statement
- Your business name and contact details from Square
- Balance due, and how much of it is past due
- Every open invoice with its due date, amount paid, amount owing and a Pay link
- Balance by age: current, 1-30, 31-60, 61-90 and 90+ days late
- Activity since the last statement: opening balance, new invoices, payments received and a running balance
Common questions
What is a customer statement?
One page that lists everything a customer owes you: each open invoice, what has been paid, what is late, and the total balance. Many customers, especially businesses, pay faster from one statement than from separate invoice reminders.
Does Square send statements already?
Square Invoices sends invoices and reminders for each invoice, but not one combined monthly statement per customer. SendStatements adds that, using the invoices you already have in Square.
Which invoices are included?
Published invoices that still have money owing: unpaid, partly paid and overdue. Drafts, scheduled, cancelled and failed invoices are left out. Customers who owe nothing are not sent anything.
How do my customers pay?
Each invoice on the statement has a Pay link to that invoice's own Square payment page. The money goes to your Square account the same way as any Square invoice payment. We never see card details.
Can SendStatements change anything in my Square account?
No. We ask Square for read-only access (5 read permissions). We cannot create, edit or cancel invoices, take payments or issue refunds.
Who do the emails come from?
They are sent as "Your business via SendStatements" from statements@sendstatements.com, with your email address as the reply-to, so replies go straight to you.
When are statements sent?
On the day of the month you choose (1 to 28), in your Square location's time zone. You can preview every statement first, and nothing is sent until you switch on automatic sending.
What if a customer has no email address in Square?
They are skipped and shown in your preview, so you can add an email address in Square before the next send.
What does it cost?
$15 a month per business, with a 14-day free trial and no contract. Billing is not switched on yet, and we will never charge you without asking first.
How do I stop or disconnect?
Turn off automatic sending in Settings at any time. To disconnect completely, use "Disconnect" in Settings, or remove SendStatements in your Square Dashboard under Settings > App integrations.
